Help: Calendar
The calendar page has two main parts, the calendar and the sidebar. When the page loads, the sidebar will show for today's date by default and has the following sections:
- Work records
- Filter
- Tasks
- Diary
- Sales
Use the calendar to switch the sidebar between days. If you already have work records for any of the dates shown on the calendar, these will show as coloured circles (you can assign colours when you manage your Projects).
Change the month view using the arrows or drop-down lists above the calendar.
Work records
The first block in the sidebar shows all your work records for the selected day and will show an information message if you have not already added any work records yet. Click on the colour-coded circles to switch between records for different Projects.
Filter
Use this to view one project at a time in the tasks and diary sections of the sidebar, making it easy to prioritise what you need to work on.
Tasks
Manage your to-do list with the Tasks tool.
- Press the Plus symbol + to add a new task in the pop-up.
- Select the appropriate Project.
- Setup date: by default this is the same as the date showing for the sidebar.
Top tip: Changing this to a date in the future means that you won't see the task until that date in your list. DO this to set-up reminders or hide tasks that you can't give your attention to right now. - Date due: leave this empty to show the task at the top of your Tasks list. Select a date if your task has a deadline. This will prioritise the most important tasks for you in the list.
- Status: tick this box when you have completed a task.
- NB you can also do this from the sidebar without opening the pop-up.
- Title: this will show as the task "name" in the sidebar, so make it short and clear.
- Description / notes: these will show when you hover over the Title of the task in the sidebar.
Once you have included all the information you need, press Save to add the task to your Tasks list in the sidebar. The sidebar refreshes to include the new task.
Diary
The Diary editor allows you to add events to your calendar. Days with diary entries (e.g. meetings etc.) will show with a red circle around the date.
- Press the Plus symbol + to add a new diary item in the pop-up.
- Select the appropriate Project.
- Date start and date end: by default these are the same as the date showing for the sidebar.
- All day event: un-tick this box to define start and end times for the event.
- Title: this will show as the event "name" in the sidebar.
- Notes: these will show when you hover over the Title of the task in the sidebar.
Once you have included all the information you need, press Save to add the event to your Diary in the sidebar. The sidebar refreshes to include the new event.
Sales
Sales items are used to record invoice-able items which have a fixed cost i.e. which are not time-dependent. You can track sales of these items on a daily basis by adding them to the Calendar, and then import them to your invoice.
Top tip: this can still be used to invoice for time spent, e.g. if you are invoicing for a project where you have an agreed fixed-fee, regardless of time spent.
- Press the Plus symbol + to add a new Sales item in the pop-up.
- Select the appropriate Project.
- Date added: by default this is the date currently showing in the sidebar.
- Load product: if you already have a Product set up for your account, you can load its details by selecting it from the drop-down list.
- Reference: this will be automatically pulled from your Products, or you can leave it blank.
- Name: this should be a short title for this Sales item
- Description: this will show on your invoice when you import this Sales item
- Notes: these will not show on your invoice when you import the Sales item.
- Quantity: Enter the number of items sold
- Rate and tax: these will pull from your Products, or you can enter then manually.
- Totals: these are calculated for you.
- Press Save to add the Sales item(s) to the sidebar.
